Contract Support Administrator

CONTRACT SUPPORT ADMIN We have an exciting opportunity for an experienced Contract Support Admin to join the team at our office in Manchester where the focus of this role will be to deliver robust, high quality and cost-effective solutions to support our client JLL on core business requirements and provide lead contract support and finance support to the account management team.    ABOUT THE ROLE    We are looking for you to have experience of working in a similar role with experience of Microsoft Office Applications, Concept and Coins, and have knowledge of finance processes and an understanding of basic financial concepts such as revenue, cost, and profit.     To be successful in the role you will be an excellent communicator with great attention to detail and a self-starter with the ability to plan and organise your time effectively.  This is a terrific opportunity to progress your career as part of a talented, diverse, and supportive team.  Some of the other Key Accountabilities as Contract Support Admin include:    Collaborate closely with the team ensuring the timesheets submitted are accurate in line with the labour costed and analyse any overtime completed. Assist with PPM invoicing and PPM invoicing approvals. Collaborate with JLL Supply Chain Manager to conduct subcontractor performance reviews. Ensure subcontractors are inline with all client requirements and all relevant documentation is up to date – Avetta, CHAS & Constructionline Gold. Assist in obtaining quotations for tender submissions and contract variations. Assist in the creation and management of portfolio tender submissions and cost books – including the routine review of PPM purchase orders, removing accruals ahead of contract reviews. Raise PPM Purchase Orders in line with contract renewals or following contract variations. Assist JLL Supply Chain Manager and Contract Support Manager with other Ad-Hoc duties when required. Facilities Coordinator

Facilities Co-OrdinatorWe have an exciting opportunity for an experienced, full time Facilities Coordinator to join the team at our offices in Enfield, to support Wates FM in delivering a comprehensive, first-class, maintenance service. This role provides a positive, professional, and seamless link between all members of the management team and support all staff working on the account and ensures the effective provision of help desk and financial administration. ABOUT THE ROLE It is important to us that we get the right person for the role so, to be seriously considered, it would be great if you can bring us strong administration experience in a busy, client-driven environment, and experience of having worked in Facilities Management before and working knowledge of CAFM systems (elog systems). NVQ / SVQ in Customer Services Level 1-4 (Preferred but not essential) We do need you to have solid written and verbal communication skills, as well as highly PC literate with proficiency in the use of Microsoft Office Suite, Concept Evolution and other IT systems, and the ability to multitask and manage your time effectively, prioritising the right tasks. Some of the other Key Accountabilities as Facilities Coordinator include: Workflow management of all jobs through CAFM system. Logging, updating, closure and reporting against all PPM and reactive tasks. Assignment and allocation of jobs to be tasked through the site Account Manager and Supervisor. Procurement through the systems for parts, materials or contracted services required by Wates and Client team. This may include obtaining pricing for quotes as requested by the site Account Manager or Supervisor. Administration of cash processes required by Wates and Client, including management of accounts payable workflows and financial housekeeping activities. Administration and management of compliance records and documentation through ACT, Client systems and logbooks held on site. You will face a wide variety of demands every day so it is vital you can prioritise and work through them whilst remaining cool, calm, and composed. Mechanical Engineer
