We are looking for a highly organised and proactive Contract Support Administrator to join our team in Milton Keynes. This role is ideal for someone who thrives in a busy environment, enjoys supporting both operational teams and clients, and takes pride in delivering exceptional customer service and administrative accuracy.


🗂️ About the Role

As a Contract Support Administrator, you will play a key role in the smooth running of our contracts and day‑to‑day operations. Responsibilities include:

  • Providing comprehensive administrative support to the contract and operational teams
  • Managing documentation, reports, scheduling, and compliance records
  • Liaising with engineers, supervisors, suppliers, and clients to ensure smooth workflows
  • Raising purchase orders, processing invoices, and supporting financial reporting
  • Ensuring all systems, logs, and contract information are kept accurate and up to date
  • Supporting the mobilisation and ongoing management of maintenance and FM contracts
  • Coordinating planned and reactive works and updating status information in real time
  • Maintaining strong working relationships with internal teams and external partners
  • Supporting KPI reporting, governance activities, and contract performance reviews

Essential:

  • Experienced in administration, ideally within facilities management, engineering, or a service‑led environment
  • Highly organised with excellent attention to detail
  • Confident with IT systems (Outlook, Excel, Word; CAFM experience beneficial)
  • Strong communicators with the ability to build relationships at all levels
  • Comfortable working in a fast‑paced environment with shifting priorities
  • Customer‑focused with a positive, solution‑driven attitude

Desirable:

  • Experience supporting contracts, engineering teams, or FM operations
  • Strong numeracy and experience supporting invoicing and financial processes
  • Previous use of CAFM, P2P or compliance systems
