Bid Manager
Purpose:
- To manage the individual project bid process to ensure that a properly considered and co-ordinated bid can be presented for adjudication. To manage the second stage of a bid.
Position Typically Reports To:
Submissions Manager / Regional Director
Key Accountabilities and Deliverables:
- Management of tender bid & pre-contract activities.
- Hand-over and presentation of tender bid to construction team.
- Manage fully considered and co-ordinated tender.
- Develop Supply Chain.
- Enable correct net bid to be established.
- Establish opportunities/scope to win tender bids.
- Risk co-ordination.
Key Tasks:
- Check and acknowledge tender documents and amendments.
- Ensure that details are entered on RIMS.
- Arrange tender launch meeting.
- Establish and request all necessary resources are provided to the tender team.
- Produce a Bid Strategy and brief tender team.
- Ensure correct selection of subcontractors and suppliers for key packages.
- Organise distribution of tender documents/amendments for appropriate parties.
- Arrange tender submission document production and checking.
- Ensure appropriate member of bid team answer queries from subcontractors/suppliers.
- Arrange site visit.
- Ensure Risk analysis and Risk Register are produced.
- Request further information from Client/Design Team and arrange meeting if required.
- Internal meetings to review design alternatives/value management.
- Ensure pricing reflects the proposed methodology.
- Agree proposed Prelims.
- Liaise with builders conference.
- Attend Adjudication Meeting.
- Write synopsis and tender letter.
- Co-ordinate post tender negotiations with Client.
- Ensure final ‘Green Sheet’ is fully distributed prior to adjudication.
- Maintain/pursue business development opportunities.
- Ensure that final tender information is entered on RIMS.
- Attend hand-over meeting and brief team on tender bid.
- Organise and lead Design Team Meetings, if D & B (if no Design Manager involved).
- Undertake project debrief, eliciting feedback from sites, to improve construction.
- Manage second stage.
